Privacy Policy

This page explains what personal data OnlinePersonalTrainer.uk collects, why, who we share it with, how long we keep it and how to use your rights. We never sell your data.

Who we are

OnlinePersonalTrainer.uk is a trading name of CLOCKWISE LTD (company no. 15143248), registered in England & Wales. CLOCKWISE LTD is the data controller for the personal data on this page. For any privacy question, or to use any of your rights, email hello@onlinepersonaltrainer.uk.

What we collect

  • Your quiz answers: your goal, sex, age band, where you train, how many days a week you can train, your experience and whether you have an injury.
  • Your sign-up form: your name, email address, phone number, your goal, injuries and health conditions you tell us about, the food you like and dislike, and your weekly schedule.
  • Payments: when you buy a plan, Stripe takes your payment. We receive your name, email address, billing details, what you bought and whether the payment went through. We never see your full card number.
  • Coaching: your weekly check-ins (for example your weight, workouts, steps and how you feel), any photos or videos you choose to send, and your messages with your coach.
  • Emails you send us.
  • How you use the site: the pages you view, how long you stay and how far you scroll, clicks, form and quiz steps, and page-speed measurements, each with the time, the website that sent you, your IP address and its network, your approximate location (from the IP address), your browser, device and language, and a random visitor ID kept in a cookie. We record this with our own analytics service and with Google Analytics.

Health information

Some of what you tell us is health information, such as injuries, health conditions, your weight and progress photos. The law treats this as special category data. We only collect it with your explicit consent, which you give when you send it to us, and we only use it to coach you safely.

You can withdraw your consent at any time by emailing us. If you do, we may no longer be able to coach you safely, and we will tell you if that is the case.

How we use it

  • To write your plan, read your check-ins and coach you.
  • To take payments and manage your plan, including cancellations and refunds.
  • To send you emails about your plan, such as your welcome email, receipts and important changes.
  • To reply when you contact us.
  • To understand how the site is used and make it better.
  • To meet our legal duties, such as keeping tax records.

We only send marketing emails if you have said yes, and every one has a link to unsubscribe. We do not build advertising profiles and we do not sell your data.

Our lawful basis (UK GDPR)

  • Coaching and payments: to perform our contract with you, and to take steps you ask for before you join (the quiz and sign-up).
  • Health information: your explicit consent.
  • Marketing emails: your consent, which you can withdraw at any time.
  • Analytics and site security: our legitimate interest in running and improving the site, balanced against your rights.
  • Tax and accounting records: our legal obligation.

Cookies

Our own analytics sets _wsv, a random visitor ID kept for two years (a copy is also kept in your browser’s local storage), and _wss, a session marker that ends after 30 minutes without activity. If you opt out below, _wso remembers that choice. Our own team’s browsers carry _wsi, so our visits are left out of the figures.

Google Analytics sets _ga and _ga_<id>, which last up to two years. Stripe’s checkout page sets its own cookies to keep payments secure and prevent fraud. We do not use advertising cookies.

Who we share it with

We share your data only with the companies we need to run the business, each under a data processing agreement:

  • Stripe: payments.
  • Amazon Web Services (Amazon SES): sending our emails, from servers in Ireland.
  • Railway: hosting this website.
  • Cloudflare: our domain, email routing and our own analytics service.
  • Google: Google Analytics, and the mailbox where emails to us arrive.

Some of these companies process data outside the UK. When they do, we rely on a legal safeguard: a UK adequacy decision (including the UK–US data bridge) or the UK International Data Transfer Agreement or Addendum.

We may also share data if the law requires it, for example with HMRC or the police.

How long we keep it

  • Quiz answers from people who do not join: up to 12 months.
  • Coaching records, including health information: while you are a client and up to 2 years after your last contact with us, then deleted.
  • Payment and tax records: 6 years after the end of the tax year they relate to, as the law requires.
  • Analytics: for as long as it helps us run the site. Records of automated (bot) traffic are deleted after 90 days.

You can ask us to delete your data sooner, unless we must keep it by law.

Your rights

You have the right to see the data we hold about you, to correct it, to have it deleted, to get a copy to take elsewhere, to object to or limit how we use it, and to withdraw consent at any time. To use any of these rights, email hello@onlinepersonaltrainer.uk. We reply within one month.

If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Age

Our coaching is for adults aged 18 or over. We do not knowingly collect data from children.

Changes to this policy

If we change this policy, we update this page and the date at the top. If the change is important, we email our clients about it.
